Can I control who accesses my POS system?

Yes. VanillaPOS supports role-based user permissions and PIN-based logins, so you can assign access levels to staff and track activity per user. This helps protect sensitive data and ensures only authorized staff can perform key actions.


What types of user roles can I set?

VanillaPOS supports multiple permission tiers (e.g., Admin, Manager, Staff). Each role has its own set of capabilities, from full system access to limited transaction-only functions.


Can I track activity by user?

Yes. Each login is tied to a unique user profile, allowing you to monitor transactions, refunds, discounts, and voids on a per-user basis for accountability and reporting.


Can I set up PIN or password requirements for logins?

Yes. You can require staff to log in using either a secure PIN or a username/password combination, depending on your security needs.


Can I lock the POS when it’s not in use?

Yes. You can set idle timeout locks, requiring re-authentication if the POS is inactive for a set period. This helps prevent unauthorized access if a device is left unattended.


Can I restrict who can issue refunds or apply discounts?

Yes. These permissions can be assigned to specific roles, ensuring only authorized users can issue refunds, apply discounts, or override prices.


Can I disable access remotely?

If a staff member leaves your business or loses a device, you can immediately revoke their access via the VanillaPOS dashboard.
