The Revenue Report

The primary report available in the Vanilla dashboard, providing detailed information about all transactions in your account.

The Revenue Report is the primary reporting tool available in the Reports tab of the VanillaPOS Dashboard. It provides a detailed view of all charges and refunds processed within your account over a selected date range.


Accessing the Revenue Report

  • The Revenue Report is available under Reports in the left-hand sidebar.

  • By default, the Revenue Report is shown when you log in.

  • The report initially displays transactions for the current day.

To view transactions from a broader date range, use the Filters option in the upper right-hand corner.


Using Filters

The Filters option allows you to refine the data shown in the report.

Available filters include:

  • Start Date and End Date

  • Transaction Type

Transaction Type options:

  • Charges and Refunds (default)

  • Charges only

  • Refunds only

These filters allow you to drill down into specific transaction activity as needed.


Revenue Report Summary

At the top of the Revenue Report, you will see a summary that includes:

  • The total sum of all charges

  • The total sum of all refunds

  • The current balance for the selected date range


Revenue Report Table

The report table displays a list of all charges and refunds within the selected date range.

Each row represents a single transaction and includes the following columns:

  1. Transaction Date: The date and time when the transaction occurred.

  2. Transaction Type: Indicates whether the transaction is a charge or a refund.

  3. Payment Intent: A Stripe-specific identifier that tracks the full lifecycle of a payment, from creation through final settlement.

  4. Customer: The first and last name of the customer associated with the transaction.

  5. Store: The store where the transaction occurred. This will typically be the same unless you operate multiple stores.

  6. Transaction Amount: Charge and Refund amounts (charges appear as positive values in green, while refunds appear as negative values in red)

Please Note: When viewing Transactions, Subscriptions that have not started or 'kicked off' based on their start date will not display.


Viewing Transaction Details

You can view more information about any transaction by clicking on its row in the table. The transaction details page includes:

  • Transaction date and time

  • Transaction type

  • Store

  • Payment Intent

  • Customer details

  • Transaction amount

  • Cardholder details

  • Customer ID

  • Receipt ID

  • Any additional parties involved in the payment

Receipt ID

The Receipt ID is especially important when issuing refunds from devices. This value is required and can be easily found by:

  1. Opening the Revenue Report

  2. Clicking on the relevant transaction

  3. Locating the Receipt ID in the transaction details


Line Item Breakdown

Scrolling down on the transaction details page reveals a detailed breakdown of the charge.

This breakdown includes:

  • Line items for each product or subscription

  • Quantity for each line item

  • Unit price

  • Total price per line item

The breakdown also displays:

  • Subtotal

  • Applied discounts

  • Taxes

  • Tips

  • Refunds (if applicable)

  • Final total charge

This provides a complete financial view of each transaction.


Exporting the Revenue Report

The Revenue Report can be downloaded using the Download option in the upper right-hand corner. Available export formats:

  • PDF

  • CSV

Exports reflect the currently applied filters and date range.
