The Transactions Screen

This article covers the Transactions screen of your Vanilla point-of-sale system.

The VanillaPOS Transactions screen provides a detailed list of individual transactions processed through your terminal and is consistent across mobile phones, tablets and S700 devices. It can be accessed by pressing the 'Transactions' action button located on the Home screen.


Purpose of This Screen

Use the Transactions screen to:

  • Review daily or historical transaction activity.

  • View individual transaction details (e.g., payment method, time, receipt ID).

  • Confirm successful payments.

  • Reconcile totals against reports or tips.

  • Investigate any potential issues or discrepancies.

Transactions Screen Sections & Features

Summary Section

  • Total Amount for Period: Displays the combined total of all successful transactions within the selected date range.

  • Date Range Selector: Use the calendar icons to define a custom period to filter transactions as follows:

    1. Tap the calendar icons next to the date range fields.

    2. Select the start date and end date.

    3. The list and total amount will update automatically to reflect your selected timeframe.

Transaction Tiles

Each tile represents one individual transaction. Tiles display:

  • Amount: Total value of the transaction.

  • Customer Name: If available, the cardholder’s name. If unavailable, it will show “N/A” or “CARDHOLDER/VISA.”

  • Payment Method: Card type and last 4 digits of the card used.

  • Receipt ID: Unique identifier for the transaction.

  • Date / Time: When the transaction was completed.

  • Transaction ID: Unique identifier value used within Stripe to identify a transaction.

  • Status: Transaction statuses are displayed as colored indicators located in the top right hand corner of each tile. Available statuses include:

    • Successful status displayed on a green background

    • Add Tip status displayed on a bright blue background

    • Partially Refunded status displayed on a

    • Refunded status displayed on an amber background


Actions Available on Transactions

Each transaction tile is clickable, and provides a more in depth view of the selected transaction. Depending on the status of the Transaction that is selected, different actions can be taken as follows:

Transactions with 'Successful' Status

When a transaction has a status of Successful, the following actions are available:

  • Issuing a full or partial refund

  • Printing a receipt (if a compatible printer is connected)

  • Providing a receipt via email or text/SMS

Transactions with 'Add Tip' Status

When a transaction has a status of Add Tip, the following actions are available:

  • Adding a tip to the transaction - tips can be a % value of the total or a custom amount

  • Once the tip is added, printing or providing a receipt via email or text/SMS options are available

Transactions with 'Partially Refunded' Status

When a transaction has a status of Partially Refunded, the following actions are available:

  • Issuing a full or partial refund

  • Printing a receipt (if a compatible printer is connected)

  • Providing a receipt via email or text/SMS

Transactions with 'Refunded' Status

When a transaction has a status of Refunded, the following actions are available:

  • Printing a receipt (if a compatible printer is connected)

  • Providing a receipt via email or text/SMS
