Vanilla Products and Subscriptions

Information regarding the Products tab of the Vanilla Dashboard, including creating, viewing and editing products and subscriptions

The Products tab in the Vanilla Dashboard allows you to create and manage everything you sell, including one-time products and recurring subscriptions. From this section, you can control pricing, inventory, images, availability, and tax behavior.


Accessing Products

  • Navigate to Products from the left-hand sidebar in the Vanilla Dashboard.

  • The Products section includes two item types:

    • Products

    • Subscriptions

Both types are managed from the same Products table.


Products Table Overview

The Products table displays all products and subscriptions associated with your account. Each row includes:

  • Product or subscription image

    • Displayed on devices during checkout

  • Name

  • Inventory amount

    • Can be set to a fixed number or infinite

  • Price

  • Taxable status

    • Taxable items are indicated with a plus symbol

  • Type

    • Product or Subscription

  • Status

    • Available or Unavailable

  • Manage options

    • Edit icon to update

    • Trash icon to delete

  • Reordering controls

    • Use the up and down arrows to change product order


Creating a Product

To create a product:

  1. Click Create Product in the Products tab.

  2. Use the enable/disable toggle in the upper right to control availability.

Product Details

When creating a product, you can configure the following:

  • Product Name

  • Product Description

  • Product Image

    • Upload or drag and drop

    • Maximum file size: 1 MB

    • Minimum dimensions: 260 x 260 pixels

  • Price

    • Regular price

    • Optional sale price (can be toggled on or off)

  • Taxable

    • Enable to apply tax based on your configured tax rates

  • Variable Price

    • Set a minimum and maximum price to allow flexible pricing

Inventory and Type

  • Amount Available

    • Set a fixed inventory count

    • Or enable Infinite Availability for unlimited supply

  • Product Type

    • Goods (books, physical items, etc.)

    • Services (one-time services)

Please Note: Product type impacts tax handling

Click Create Product to save. The product will appear in the Products table.


Creating a Subscription

To create a subscription:

  1. Click Create Subscription in the upper right of the Products tab.

  2. Use the enable/disable toggle to control availability.

Subscription Details

Subscription setup includes many of the same options as products:

  • Subscription Name

  • Subscription Image

    • Upload or drag and drop

    • Displayed on devices during selection

  • Price

    • Regular price

    • Optional sale price

  • Taxable

  • Variable Price

    • Set minimum and maximum pricing

Please Note: The subscription description is automatically generated based on the selected duration.

Subscription Billing Settings

Invoicing Frequency

Controls how often customers are billed.

  • Set a numeric value

  • Select a billing interval:

    • Weekly

    • Bi-weekly

    • Monthly

    • Yearly

Billing Anchor (Subscription Start)

Defines when billing begins:

  • Select a specific day of the month

  • Or choose Immediately to start and bill right after purchase

Subscription Duration and Renewal

  • Subscription Duration

    • Infinite (no end date)

    • Or end after a specified number of weeks, months, or years

  • Auto-Renew

    • Enable to ensure the subscription continues recurring without stopping

Subscription Inventory and Type

  • Amount Available

    • Set a finite inventory

    • Or enable Infinite Availability

  • Subscription Type

    • Goods

      • Example: recurring product delivery

    • Services

      • Example: recurring tutoring or membership fees

  • Tax Code

    • Required for subscriptions to ensure correct tax handling

Click Create Subscription to save. The subscription will appear in the Products table.


Managing Products and Subscriptions

From the Products table, you can perform the actions available to your account, including:

  • View all products and subscriptions

  • See inventory, pricing, billing frequency, and status

  • Edit items using the edit icon

  • Delete items using the red trash icon

Please Note: Restrictions may apply when editing or deleting active subscriptions. Additionally, Organization restrictions and field locks may prevent specific products from being created, duplicated, edited, or deleted.


Organization-Managed Products

If your account belongs to an organization, some products and subscriptions may be created and controlled by an Organization Admin.

Depending on the organization’s settings:

  • Products may be automatically added to your account

  • Products may be available through one or more catalogs

  • Product or subscription creation may be unavailable

  • Product duplication may be unavailable

  • Some product fields may be locked

  • Other product fields may remain editable for your account

When a field is locked, it appears as read-only and must be updated by an Organization Admin.

Adding a Product from a Catalog

When Catalog Management is enabled for your organization, an Add Product from Catalog option may appear in the Products tab.

To add a catalog product:

  1. Navigate to Products from the left-hand sidebar.

  2. Click Add Product from Catalog.

  3. Select a catalog when more than one catalog is available.

  4. Find the product or subscription you want to use.

  5. Add the item to your account.

The item will appear in your Products table after it has been added.

Please Note: The fields you can edit are determined by the Organization Admin. Locked fields cannot be changed from the account.

Duplicating a Product

When product duplication is permitted:

  1. Open the Products tab.

  2. Select the product you want to copy.

  3. Click Duplicate.

  4. Review and update the copied product.

  5. Save the new product.

If the Duplicate option is not displayed, product duplication may have been disabled for your account by an Organization Admin.
